Privacy Policy

TechTicket AI is a product operated by HummingAgent ("HummingAgent", "we", "us", or "our"). This Privacy Policy explains how we collect, use, disclose, and protect information when you visit techticketai.com (the "Site") and when you or your organization use the TechTicket AI service (the "Service"), which provides AI ticket triage, tier 1 request handling, after-hours intake, and escalation routing for IT helpdesks and managed service providers.

1. Information we collect on the Site
When you visit the Site, we collect:
- Information you provide directly, such as your name, email address, company name, and anything you include when you email us or book a call.
- Technical information collected automatically, such as IP address, browser type, device type, operating system, referring pages, and pages viewed. This is standard web server and analytics data used to operate and improve the Site.
- Scheduling information. If you book a call through our scheduling provider, that provider collects the details you enter under its own privacy policy in addition to this one.
2. Information processed through the Service
The Service handles helpdesk communications on behalf of our customers. Depending on how a customer configures the Service, this may include:
- Voice data: recordings and transcripts of calls answered by the voice agent, including the caller's phone number, stated name, and the content of the conversation.
- Written requests: the contents of emails and support portal submissions routed through the Service, including sender details and attachments where applicable.
- Ticket data: ticket subjects, descriptions, categories, priorities, status changes, resolution notes, and the structured summaries the Service generates.
- Directory and routing data our customers provide so the Service can identify requesters and route correctly, such as client names, team structures, contact lists, and escalation rules.
When the Service processes helpdesk data on behalf of a customer, the customer is the controller of that data and we process it under their instructions and our agreement with them. End users whose requests are handled by the Service should direct privacy questions first to the organization providing their IT support.
3. Call recording and AI disclosure
Calls answered by the voice agent are recorded and transcribed so that tickets can be created accurately and so that escalations carry full context. Callers are informed at the start of a call that they are speaking with an AI assistant and that the call is recorded and transcribed. Customers are responsible for ensuring that their use of call recording complies with the laws applicable in their jurisdictions, and we work with customers to configure disclosures appropriately.
4. How we use information
- To provide the Service: answering calls, triaging requests, executing approved resolution procedures, creating and updating tickets, and routing escalations.
- To operate, maintain, secure, and improve the Site and the Service, including debugging and quality review.
- To communicate with you about the Service, respond to inquiries, and schedule and conduct calls you request.
- To meet legal, regulatory, and contractual obligations.
We do not sell personal information. We do not use customer helpdesk data, including voice recordings, transcripts, or ticket contents, to train models made available to other customers.
5. How we share information
We share information only in the following circumstances:
- With service providers that support our infrastructure, such as cloud hosting, telephony, transcription, email delivery, and scheduling providers, under agreements that limit their use of the data to providing services to us.
- With the customer organization whose helpdesk the Service supports: recordings, transcripts, tickets, and summaries generated for a customer are delivered to that customer.
- When required by law, legal process, or to protect the rights, safety, or property of HummingAgent, our customers, or others.
- In connection with a merger, acquisition, or sale of assets, in which case this policy will continue to apply to previously collected data until updated.
6. Data retention
Site inquiry data is retained for as long as needed to handle your inquiry and maintain our business records. For Service data, retention periods for recordings, transcripts, and ticket data are agreed with each customer during setup and reflected in our agreement with them. When retention periods end, data is deleted or anonymized. We may retain limited information longer where required by law.
7. Security
We follow standard industry security practices: data is encrypted in transit and at rest, access to customer data is restricted to personnel who need it to operate the Service, access is logged, and we review our practices regularly. No method of transmission or storage is perfectly secure, and we do not promise absolute security, but we take the protection of helpdesk data seriously and will describe our current practices in detail to any customer or prospect who asks.
8. Your rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent where processing is based on consent. To exercise these rights, email hello@hummingagent.ai. If your data was processed because an organization uses the Service for its helpdesk, we may refer your request to that organization, since they control that data. We will respond to requests within the timeframes required by applicable law.
9. Cookies and analytics
The Site uses only the cookies and similar technologies needed to operate and to understand aggregate usage. We do not use cross-site advertising trackers. You can control cookies through your browser settings; the Site remains usable with cookies disabled.
10. Children
The Site and the Service are intended for business use and are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.
11. International transfers
We are based in the United States and process data there and in the regions where our service providers operate. Where data is transferred across borders, we use appropriate safeguards required by applicable law.
12. Changes to this policy
We may update this policy from time to time. When we do, we will revise the effective date above and, for material changes affecting the Service, notify customers directly. Continued use of the Site or Service after an update means you accept the revised policy.
